SEARCHING FOR AND HOW TO VIEW A PROPERTY.

Browse our website or collect a list from our office

Unless otherwise stated on our accommodation list, knock the door of the house you want to see and ask the current tenants to show you around .

If nobody is at home leave a note with your email address/phone number and ask them to contact you with a suitable time. Or,
-
If our list states See Agent to View, firstly look at the area and outside of the house. If still interested make a suitable appointment for the whole group to attend.

Your student ID will be required when arranging viewings.

ACCEPTANCE OF A PROPERTY.
When the whole group has decided on a suitable property and are 100% sure, before signing the agreement we require the following:-

Completion of an application form with details of full name, home address, telephone number, email addresses and student library card number for each occupant.

A non refundable administration fee of £50 per student

A copy of your student card
-
Make a suitable appointment for within seven days of accepting a property for the whole group to attend to sign the tenancy agreement, pay the deposit and post dated cheque for September rent (See rent payments)

TENANCY.
This is an Assured Shorthold Tenancy for 10 months, from 1st September to 30th June.

Full information is contained in the Student Contract.

A sample copy can be collected from our office.

A sample has also been supplied to Advice and Welfare at Warwick University.

The document is prepared at our office and when all parties have signed it, one copy of the agreement is given to each household.

DEPOSIT.
The equivalent of one months rent is required as a security deposit. This is payable upon signing the tenancy agreement and is banked immediately. The deposit is registered with the Government approved The Dispute Service at www.thedisputeservice.co.uk
The deposit is returned at the end of the tenancy, subject to the following:-

The house has been cleaned.

No damage is found after the final inspection to the property, or to the landlord's fixtures and fittings

The rent is up to date. N.B. the deposit may not be used in lieu of rental payments.

Proof you have paid all your final utility bills. i.e. Gas, Electricity, Phone. (Plus Council Tax and Water Charges if applicable).

You must provide us with complete copies of your final paid bills that include the final meter readings and the receipt of payment issued by your bank or the Post Office. Please do not pay or over the phone as this method does not produce the required receipts.

All keys are returned to our office suitably labelled with your name and rental house address.

Deposit cheques are returned via Bank Transfer. Please provide your bank details at the end of your tenancy (Your name, Account No and Sort Code)

RENT PAYMENTS

A cheque post-dated 1st August is required when signing the tenancy agreement in respect of the rent for September.

The remaining three payments are due by 1st October, 1st January and 1st April.

All rent is paid to our office by Direct bank transfer (our bank details on request) or cheque.

Cheques should be made payable to:-

We advise one person in each household should be responsible for bringing in all the rent cheques for which a receipt is given. A stamped self-addressed envelope must be supplied if receipts are required for posted cheques. We do not accept payments by either debit or credit cards.

Our properties are not rented by the room therefore an equal responsibility is placed on each joint tenant for the full cost of the rent should one or more tenants fall behind with their share, or vacate the property.

N.B. £25 per transaction will be charged for all unpaid cheques returned by the bank or those that have to be represented.

UTILITY BILLS.

Tenants must ensure the utility bills i.e. gas, electric and telephones are transferred immediately into their names.

Meter readings for gas and electricity must be taken, and the utility services informed at the start of the tenancy and when vacating the premises.

Copies of the meter readings must be given to our office within 7 days from the start of your tenancy.

The names and telephone numbers of the gas and electricity suppliers to the property are given to the first person to collect their keys.

The current supplier for gas and electricity supplied to the Premises must not be changed
COUNCIL TAX EXEMPTION. Each person in the household must provide a copy of their student library card if registered at University of Warwick to Warwick District Council. If registered at any other college/university, please give them a copy of your student certificate, which should be available from your college registrar.

HOUSE INVENTORY. One copy of the house inventory is given at the start of the tenancy to the first person to collect keys. Notification must be given to us in writing within 14 days if there are any discrepancies and make an appointment with us to discuss any amendments.
FINAL INSPECTION. The final inspection of the property will take place after you have vacted the house. You will be emailed within 10 working days ad informed of any damage found and any proposed decuctions.

KEYS. There is one set per student. They may be collected from our office from 1st September between 10.00 a.m. and 4.00 p.m. Monday to Friday and 10.00a.m. and 2.00 p.m. on Saturday. At the end of the tenancy all keys must be handed back to our office suitably labelled with the tenants name and the house address.
REPAIRS. All requests for repairs must be submitted promptly in writing either on our repairs form at our office or by e.mail to info@sandhuestates.co.uk . This will be forwarded to your landlord for his attention and action. Telephone messages can be left at our office in the event of emergencies.
REFERENCING: If at any time you want us to supply a reference to your new landlord/agent you must first let us have the following:

Your written and signed instructions that we may pass on the information required

A non refundable fee of £25 inclusive of VAT for each reference you require

Please instruct your new landlord/Agent to submit their request to us in writing, as information will not be given over the telephone.
