MOVING IN GUIDE

Tenants Responsibilities
As tenant(s) of the property, there are a number of areas for which you are responsible, these include but are not strictly limited to:
 
·      Security of the property.
·      Keys:  Should any keys be lost, please inform us immediately. Tenants are responsible for the payment of lost keys or changing of locks.
·      Regular cleaning of the property
·      General maintenance of appliances, i.e. cleaning and or changing of filters etc.
·      Clearing of blocked toilets, sinks and drains.
·      Defrosting of refrigerator and freezer at regular intervals.
·      Keeping the property ventilated and condensation free.
·      Pest control
·      Keeping lime scale at bay, particularly sanitary ware, washing machine etc.
·      Replacement of light bulbs and fuses.
·      Bleeding air from radiators
·      Repair of accidental damage
·     Removal of all rubbish. Please ensure refuse/rubbish is put out on the relevant collection days. Visit www.warwickdc.gov.uk/students of phone 01926 412464 for full details about refuse and recycling.  Also removal of all rubbish and personal possessions at the end of the tenancy.
·      NO SMOKING WITHIN THE PROPERTY
 
Should the property be left empty for any length of time during the colder months, the heating should be left on at a reasonable temperature and all insurance requirements satisfied.
 
Rental Payments
·      The remaining three rent payments are due by 1st October, 1st January and 1st April.
·      All rent is paid to our office by direct bank transfer cash or cheque .  
·      Please ask for our bank details of you wish to pay by direct bank transfer
·      Cheques should be made payable to M.S. Sandhu (Client Account). Please write the address of the house you rent on the reverse.
·      We do not accept payments by either debit or credit cards.
 
Utilities
As a new tenant, you must take the meter readings on the day you move in. The first person to collect their keys will receive a welcome pack and will be responsible for taking the meter readings, contacting the utility companies (details in the welcome pack) and transferring the future bills into all the tenant’s names. This should be done within 7 days of the start of the tenancy and copies of the readings must be given to our office.  The current supplier for gas and electricity supplied to the premises must not be changed.
 
You are liable for the cost of all utilities throughout your tenancy. This includes both standing and usage charges for gas, electric, telephone (including connection/disconnection), council tax, TV licence, cable/Satellite TV Charges and internet
 
At the end of your tenancy you must inform the utility companies of your leaving date and ensure that you give them your final readings for them to provide finals bills. Please note that you will remain responsible for any charges up to the point of final meter readings.
 
Council Tax Exemption
Each person in the household must provide a copy of their student library card if registered at University of Warwick to Warwick District Council. If registered at another college/university, please give them a copy of your student certificate, which should be available from your college registrar.
 
Keys
There is one set per student, which may be collected from our office from 1st September between 10.00 a.m. & 4.00 p.m. Monday to Friday and 10.00 a.m. & 2.00 p.m. on Saturday. Keys are given to authorised tenants only. One person can collect all the keys for the house, but must be at the property when the remaining tenants arrive. If you need to verify your house address, please speak to your housemates.
 
Inventory
You will be required to sign for this document but will then have 14 days from the commencement date of the tenancy to check the inventory.   Any discrepancies must be reported in writing to our office. Should no amendments be made, you will be deemed to have accepted the contents of the document in full.
 
Repairs
All requests for repairs must be submitted promptly in writing either on our repairs form at our office or by email. This will be forwarded to your landlord for his attention and action. Telephone messages can be left at our office in the event of emergencies. Please note that you will be given notice of contractor visits for repairs/maintenance. If a contractor is called out by us or the landlord and the problem proves to have been caused by tenant negligence, the invoice will be charged to the tenant accordingly.
 
Referencing

If at any time you want us to supply a reference to your new landlord/agent you must first let us have the following:

  1. Your written and signed instructions that we may pass on the information required
  2. A non refundable fee of £25 inclusive of VAT for each reference you require
  3. Please instruct your new landlord/Agent  to submit their request to us in writing, as information will not be given over the telephone.
